- Support the development of grant proposal budgets and departmental operating budgets in close collaboration with technical teams and finance leadership.
- Assist in aligning budgets with programmatic priorities, donor requirements, and internal financial policies.
- Maintain and update budget monitoring tools and grant tracking models to support effective financial planning and decision-making.
- Support the preparation of accurate and timely grant financial reports for internal and external stakeholders.
- Monitor grant expenditures against approved budgets, identify variances, and flag risks or issues for follow-up.
- Analyze financial data and prepare summary analyses and reports to support management decision-making.
- Assist with monthly reviews of grant expenditures in the General Ledger and help coordinate any required reclassifications or corrections.
- Maintain records related to grant funds in the organization's financial systems, ensuring data accuracy and completeness.
- Collaborate with the Associate Finance Director and the Contracts Department to review financial components of grant agreements and contracts.
- Support compliance with organizational policies and donor requirements, including tracking reporting deadlines and financial conditions.
- Monitor cash flow and foreign exchange impacts across grants, flagging potential implications for budgets and forecasts.
- Contribute to the development and refinement of finance and operations processes to improve efficiency, transparency, and consistency across the team.
- Coordinate and participate in special projects related to finance, operations, or grant management, as needed.
- Work collaboratively across teams to support a strong, service-oriented finance function and team-based culture.
- Plan, coordinate, and manage logistics for team conferences, summits, workshops, and retreats, including venue sourcing, agenda development, participant communication, and on-the-day execution.
- Manage scheduling and calendar coordination for the team, including facilitating cross-time-zone meetings, tracking key deliverable deadlines, and ensuring leadership is prepared for internal and external engagements.
- Maintain and organize shared team resources, including document repositories, templates, trackers, and standard operating procedures, ensuring information is accessible, up to date, and consistently applied across the team.
- Assist with travel coordination and expense processing for team members, including visa support, travel advances, and post-trip reconciliation.
- Support procurement and vendor management activities, including obtaining quotes, tracking purchase orders, and coordinating with suppliers to ensure timely delivery of goods and services.
- Proactively identify and take on ad hoc operational needs across the team, bringing a “go-getter” mindset to fill gaps, improve processes, and ensure the team runs smoothly day to day.
- BS/BA in Business, Finance, Accounting, Operations, or related field.
- 2-4 years of relevant experience (prior experience with an international non-profit/NGO is an advantage).
- Advanced Microsoft Excel skills, and strong financial analysis and modeling skills.
- Ability to pay close attention to detail with a high degree of accuracy.
- Dynamic individual with strong interpersonal, analytical and problem-solving abilities.
- Excellent written and oral communication skills.
- Self-motivated and capable of working independently as well as within a team.
- Ability to prioritize tasks while working in a fast-paced, limited-structured environment.
- Proven customer service orientation and ability to work collaboratively with diverse finance and non-finance groups.
- Highest ethical standards, a deep sense of collegiality, as well as a strong desire to create positive change on a big scale.
