- Review auto-generated invoices (via accounting and ecommerce systems) for accuracy
- Send invoices to customers and ensure they are properly recorded
- Monitor aging reports and follow up on overdue invoices
- Communicate with customers via email (and occasionally phone) regarding billing questions and payments
- Log in to supplier portals and retrieve statements/invoices
- Process payments through company payment platforms (e.g., bill pay/credit card tools)
- Match bills and payments within the bill pay platform and accounting system
- Communicate with suppliers via email/phone to resolve billing discrepancies and update payment information
- Prepare and post journal entries in the accounting system
- Reconcile key accounts as part of the month-end close (e.g., bank, credit card, AP/AR)
- Help calculate and update key P&L and balance sheet line items using established methodologies
- Assist in ensuring that monthly financials accurately reflect the business (US GAAP-focused)
- Perform structured data entry tasks for key partners/customers (e.g., loading product or order data into external systems)
- Maintain and update internal spreadsheets, trackers, and databases
- Support ad hoc operational tasks related to finance and inventory/fulfillment data
- 3+ years of hands-on bookkeeping or accounting support experience
- Strong working knowledge of US GAAP for small businesses
- Demonstrated experience using QuickBooks for another business (or very similar accounting software with a willingness to transition quickly)
- Advanced proficiency with Microsoft Excel and/or Google Sheets (e.g., lookups, pivot tables, data validation)
- Experience with bill pay platforms and/or corporate card systems (e.g., Ramp, Brex, Bill.com or similar)
- Comfortable communicating with suppliers and customers via email and phone about invoices and payments
- Professional written and verbal English communication skills
- Experience with Airtable or similar database/spreadsheet tools
- Experience working with e-commerce and/or consumer brands
- Familiarity with platforms that integrate with accounting systems (e.g., Shopify to QuickBooks or similar)
- Background in remote work environments across multiple time zones
- Highly organized, detail-oriented, and reliable; low error rate in financial data
- High degree of ownership and accountability for assigned tasks
- Able to work independently with minimal supervision once ramped
- Strong communicator who is collaborative and responsive
- Process-oriented but also comfortable with improving and redesigning workflows
- Curious and proactive about testing new tools (especially AI-enabled tools) to improve efficiency and accuracy
- Comfortable in a fast-paced, evolving environment and open to feedback and iteration
- Accounting: QuickBooks (required)
- Spreadsheets: Excel and/or Google Sheets (required)
- Databases/No-Code: Airtable (nice to have)
- Bill Pay / Cards: Ramp or similar platforms (nice to have)
- E-commerce and integrations: Shopify / related integrations (nice to have)
