You continuously improve systems by documenting standards and spotting pragmatic opportunities to streamline and scale what works.KEY RESPONSIBILITIES
- Finance Leadership
- Oversee financial systems, starting with managing transactions in Notion and leading a full migration to QuickBooks.
- Lead expense tracking, vendor payments, and invoice processing.
- Ensure timely and accurate bank reconciliations and financial reporting.
- Manage payroll processing (currently outsourced) and prepare for bringing it in-house.
- Collaborate with accounting and audit partners to ensure statutory and tax compliance.
- Prepare and submit four quarterly compliance reports to the Special Economic Zone Authority (SEZA), ensuring timely annual license renewal.
- Contract & Vendor Management
- Develop, manage, and maintain contracts with clients, suppliers, and vendors - including keeping templates up to date, drafting tailored agreements for specific engagements, and generating payment schedules and deliverable timelines directly from those contracts.
- Ensure all contracts are systematically stored, tracked, and monitored for compliance, renewals, and performance obligations.
- Manage relationships with vendors, service providers, and contractors to ensure contract compliance, service quality, and timely payments.
- Oversee payroll for employees and contractors, including KRA fi lings and statutory compliance, in collaboration with partners such as MGN and the landlord, Two Rivers International Finance and Innovation Centre (TRIFIC).
- Maintain accurate, current records for vendors and contractors, including contracts, payment schedules, and performance data.
- People Operations
- Oversee preboarding, onboarding, and offboarding programs to ensure smooth integration for new hires and seamless transitions for departures, including systems access, documentation, and role handovers.
- Coordinate contract renewals for employees and contractors.
- Maintain accurate employee/contractor records and ensure compliance with employment regulations.
- Draft, review, and update People-related templates, policies, and process documentation.
- Operational Oversight & Coordination
- Serve as the central point of contact for cross-functional operational matters.
- Ensure coordination between finance, people operations, and leadership teams.
- Support organizational planning, compliance reviews, and internal audits.
- Systems & Process Development
- Design and improve finance, people, and operational workflows for efficiency and scalability.
- Document processes for training and institutional knowledge.
- Identify opportunities for automation and tool adoption to strengthen operations.
- Minimum Qualifications:
- Bachelor's degree in Accounting, Finance, Business Administration, or related field.
- 4-6 years of progressively responsible experience in finance, operations, or People/HR administration.
- Proven experience with QuickBooks and strong proficiency in Excel/Google Sheets.
- Understanding of Kenyan payroll regulations, tax compliance, and vendor management.
- Experience managing People/HR processes, contracts, and compliance requirements.
- Knowledge of Notion is an advantage; must be a quick learner, able to adapt to new systems and tools.
