Responsibilities:Executive Assistant to the Africa Leadership Team
  • Plan and execute leadership's work schedule, ensuring optimal use of their time and that they are prepared for all meetings.
  • Support leadership and colleagues with travel planning and logistics, including booking flights, hotels, cars, developing detailed written itineraries and travel authorization requests.
  • Serve as point person on all action lists, as well as debriefing process for check-ins and internal and external meetings.
  • Copy-edit and proofread communications/presentations.
  • Manage billing, and expense reports and itemize credit card bills and other related expenses.
  • Other special projects as needed.
Office Administration
  • Served as point person for the company's CRM database management in Africa.
  • Greet clients and other visitors to the office in a friendly and professional manner.
  • Manage emails, letters, packages, phone calls, and other forms of correspondence.
  • Maintain a clean and organized office space, set up office lunches, schedule, and set up/clean up conference rooms.
  • Support planning and coordination of internal events, including employee engagement initiatives, holiday celebrations, and special events.
  • Support special initiatives as they arise.
  • Help with basic AV/IT troubleshooting and database management.
  • Liaise with finance and IT team as necessary.
Talent/HR Support
  • Manage scheduling for recruitment efforts, process for semi-annual performance review and new hire orientation process.
  • Assist in coordination of travel arrangements with final round interviewees.
  • Filing and organization of recruitment materials such as candidate profiles and writing samples.
  • Assist leadership team and program leads with managing the hiring and onboarding process in collaboration with finance and HR.
Qualifications:
  • Bachelor's degree required.
  • At least 4-5 years of related, progressively responsible work experience, including supporting a senior executive.
  • Knowledge of executive and administrative operations.
  • Team player with strong communication, diplomacy, and interpersonal skills.
  • Ability to copy-edit communications materials, including presentations, memos, and emails.
  • Ability to multitask, work in an entrepreneurial and flexible environment, and after-hours availability as needed.
  • Sense of humor and ability to work well with a wide variety of personalities.
  • Must be authorized to work in Kenya; visa sponsorship is not available for this position.
  • Is organized and detail-oriented.
  • Has exceptional priority and time management skills.
